Microsoft Copilot Training: What to Do Before Rollout

AI Training

Microsoft Copilot training works best after the groundwork: mapped workflows, a clear view of where your people stand and an agreed measure of success. Skip that groundwork and even good training struggles to stick.

If your team are about to receive Copilot licences or already hold them, the order of work matters as much as the training itself.

Why Microsoft Copilot training often fails to deliver

Microsoft 365 Copilot sits inside tools your team already use, including Outlook, Teams, Word and Excel. It can draft emails, summarise meetings and analyse data.

The appetite is there. In Microsoft's 2026 Work Trend Index, 66% of AI users said AI had allowed them to spend more time on high-value work. The same report found that organisational factors account for more than twice the reported AI impact of individual effort.

That second finding is the one to act on. In our experience, businesses often buy licences and book a training session before anyone has decided which problem Copilot should solve. Adoption then stalls.

Is free online Microsoft Copilot training enough?

Free tutorials are a useful way to learn the features. In our view they cannot map your workflows, set your measures or reflect how your finance team actually work. That context is what turns a licence into a habit.

What to do before you book Copilot training for employees

Audit your current workflows first

Map where your team's time goes before any session. Look for tasks that are repetitive, slow or prone to error, since those are where Copilot can make a measurable difference soonest.

This need not take long. An AI workshop brings leadership, operations and finance together for half a day to a full day and produces a prioritised list of opportunities before you commit further budget.

Assess your team's AI readiness

People will start from different places. Some have already experimented with AI tools, while others are sceptical or unsure what Copilot can do.

A free AI readiness assessment gives you a readiness score and a personalised report in two to three minutes. You can then shape training around real gaps rather than assumed ones.

Define success before any training starts

Agree a measure before the first session, such as less time on email, faster report production or fewer hours spent writing up meetings. Without a baseline you cannot tell whether the training worked. You also lose the business case for further investment in AI.

How Microsoft 365 Copilot training should work

Make it role-specific

A finance manager and a marketing coordinator use Copilot in very different ways. Training that treats them identically serves neither well.

Our AI training runs role-specific workshops with live demonstrations built around your own tools and processes. In our experience, people adopt what they can apply to their own working day.

Train managers first

In our experience, teams take their cue from the people they report to. A Microsoft People Science study of 1,800 workers, cited in the 2026 Work Trend Index, linked managers modelling AI use with a 17-point lift in reported AI value. We suggest training managers ahead of their teams so they can lead by example from day one.

Teach prompt craft as the core skill

Many employees expect Copilot training to cover which buttons to press. In our view, the more valuable skill is writing a clear prompt, since a vague instruction produces a vague result.

Good training gives prompt construction and refinement real time, because that skill shapes the quality of every output.

Build in hands-on practice

Watching someone else use Copilot teaches far less than using it yourself. Effective sessions include structured practice on scenarios drawn from each person's real work. In our experience, teams without that practice slip back to old habits quickly.

Should you build an AI roadmap before rolling out Copilot?

For a rollout across more than a handful of people, we would say yes. An AI roadmap sets out where AI fits, in what order and at what cost, with the risks and expected returns alongside.

Without that structure, some departments adopt Copilot enthusiastically while others ignore it. The gains stay uneven and nobody can see what AI is doing for the business overall.

A roadmap also sequences training. Start with the teams that have the clearest use cases, build internal champions and expand from there. Our AI implementation support then connects Copilot to the rest of your tools and processes.

Assessment first: how Scimitar Sports approached it

Jon Rew, Managing Director of Scimitar Sports, started with our assessment. 'We learned a lot from the AI Readiness Assessment,' he said. The report highlighted issues that were likely costing the business money, which his team then tackled in an AI Workshop before moving on to a phased AI Roadmap.

That sequence of assessment, strategy, then training and implementation is the one we recommend. As independent advisers who do not sell software, we suggest only tools that fit your business. Our AI consulting services follow the same order.

Frequently asked questions

Do employees need technical knowledge to benefit from Microsoft Copilot training?

No. Copilot sits inside familiar Microsoft 365 apps and the core skill is writing clear prompts rather than coding. Good training uses plain business language throughout.

How long does Microsoft Copilot training take?

Session length varies with team size and the number of roles involved. Plan a short preparation phase first, then run role-based sessions rather than one long all-staff demonstration.

Is Microsoft 365 Copilot worth it for small businesses?

For many SMEs it can be, provided you plan the rollout. In our experience, the biggest gains come from small, repetitive tasks that take up a disproportionate share of the week.

How is business-focused Copilot training different from standard tutorials?

Standard tutorials explain features. Business-focused training starts from your workflows, roles and commercial goals, which makes it easier for people to apply straight away.
